1 How to buy

Artora Academy OS is sold directly by ARTORA to academies. Each academy gets a subscription tailored to the modules and size it needs.

  1. Contact our team You

Tell us about your academy: what you teach, how many students, coaches and branches you have, and what you want to manage.

  2. Product demo Together

We walk you through the Artora Console and the mobile app using examples close to your academy, and answer your questions.

  3. Choose modules and limits You

Pick the modules you need (see Choosing your modules) and the expected number of students, staff, coaches and branches.

  4. Receive your proposal ARTORA

We send a written proposal with the modules, limits, subscription period, amount payable (plus GST) and any one-time setup or data-migration work.

  5. Accept and pay You

Confirm the proposal, accept the Terms and Conditions, and pay the invoice by bank transfer or UPI. You receive a GST tax invoice in your academy's name.

  6. Account activated ARTORA

We set up your academy (see How we set up your academy) and email the Academy Admin sign-in details. You are ready to go.

We provide the software, not the payment collection Once you are live, your students and parents continue to pay fees directly to your academy, in the way you choose. Artora Academy OS helps you plan, record, remind and report on those fees; no money passes through ARTORA.

2 Choosing your modules

Only the modules you choose are switched on for your academy, so your team sees a clean menu. You can add more later.

3 What to prepare

Having these ready makes setup quick:

  • Academy's display name, registered legal name and category (for example chess, music, swimming, tuition, dance or sports)
  • Preferred short web name for your academy's page in the academy directory (for example bright-chess)
  • Logo image (PNG or JPG, square works best)
  • Main branch name, address and contact phone; details of any other branches
  • Name, email address and mobile number of the person who will be the Academy Admin
  • Approximate number of students, staff, coaches and branches
  • Billing details: legal name, billing address and GST number (if registered)
  • Optional: existing student, parent, course and batch lists in Excel, so they can be imported

4 How we set up your academy

Our onboarding team creates your academy through a guided setup, using the details you provide:

  1. Basic information

Academy name, category and contact details.

  2. Web address

Your academy's short web name in the academy directory, where your team finds your sign-in page.

  3. Branding

Your logo, shown in the console, on the sign-in page and in the mobile app.

  4. Primary branch

Your main location. Further branches can be added later if the Branches module is enabled.

  5. Academy Admin account

The owner or administrator who will manage the academy, its staff and its settings.

  6. Modules

The modules agreed in your proposal are switched on.

  7. Limits

Any agreed limits on students, staff, coaches, branches or events.

  8. Subscription term

The subscription amount and expiry date from your proposal.

  9. Review and activate

Everything is checked and the account is activated. The Academy Admin receives sign-in details by email.

5 Your first day in the console

Sign in to the Artora Console as Academy Admin and work through these steps in order:

  1. Change your password

Set a strong password of your own straight away. Changing it signs out any other sessions.

  2. Review academy settings

Check your academy details, branding and branches.

  3. Add staff and coaches

Create accounts and assign roles, giving each person only the permissions they need.

  4. Create courses and batches

Add courses with dates and amounts, then batches with a coach and a weekly timetable.

  5. Add students and parents

Add them one by one, or download the Excel template and import your existing lists in bulk. Link each parent to their children.

  6. Set up fees

Create fee plans, installments and GST settings, then assign fees when you enrol students into batches.

  7. Start daily operations

Mark attendance, record fee payments as they are received, set homework and send announcements.

6 Bringing coaches, parents and students

  • Coaches, parents and students use the Artora mobile app with the logins your academy creates for them.
  • Parents see their linked children's attendance, homework, exams, fees and announcements; students see their own; coaches see their batches.
  • For students under 18, obtain a parent or guardian's permission before creating their login, as described in our Privacy Policy.

7 Renewals, changes and support

  • Renewal: we send a reminder and invoice before your subscription expires. If it is not renewed by the expiry date, access is suspended until payment is received; your data is kept.
  • Adding modules or capacity: contact us at any time. Additions can be switched on during your current period.
  • Support: contact our team for help with setup, training or problems. Your Academy Admin is the first point of contact for your own staff, parents and students.
  • Keep your own copies: export your main records to Excel regularly, as recommended in our Terms and Conditions.
  • Cancelling: see the Refund and Cancellation Policy.

8 Common questions

Do we need to install anything?
No. The Artora Console runs in a web browser, and the mobile app is downloaded from the app store.

Can parents pay fees online through Artora?
No. Artora Academy OS is management software, not a payment gateway. Parents pay your academy directly, and your team records the payment in the console, which issues the receipt and updates the fee dashboard.

Who owns our data?
Your academy does. We process it only to provide the service. See the Privacy Policy.

Can we move our existing records?
Yes. Students, parents, courses and batches can be imported from Excel or CSV using the templates in the console.

What happens if we do not renew?
Access is suspended at expiry and restored when you renew. If the account stays unpaid for an extended period after notice, it may be closed and the data deleted, so export anything you need.
